Welcome to Pfinesse Salon & Spa ("Pfinesse Salon & Spa," "we," "our," or "us"). We value your trust and are committed to protecting your personal information.
This Privacy Policy explains how we collect, use, store, and protect the information you share when visiting our salon, using our website, booking appointments, or interacting with us online or offline.
This policy is a notice, not a contract: it tells you what we collect and why, and there is nothing in it for you to agree to. We show it to you at the point we collect your details and again on the screen where you accept the salon's Terms of Service — online and at the salon's check-in tablet — and we record which version was on screen, with the date and time. That record says you were given this notice; it is not consent to anything. Where something specific needs your consent — appointment texts, marketing messages, health information — we ask for that consent separately, in its own control, and record it the same way. We do not treat continued use of our services as consent.
2. Information We Collect
We collect personal information to provide the best possible experience at Pfinesse Salon & Spa. This may include:
Personal Details: Your name, phone number, email address, and other contact details.
Appointment Information: Service type, date/time, and technician requests.
Payment Information: Transaction details (note: we do not store full credit card numbers).
Online Deposits: When a booking requires an online deposit, the payment is handled entirely by our secure payment processor. We receive only the transaction confirmation and amount — never your full card details.
Communications: Messages, inquiries, or feedback via phone, email, or social media.
Website Data: Technical and device information such as IP address, browser type, or visit duration, used to improve our website and marketing performance.

Kept: Kept while you remain a customer of the salon; a verified deletion request erases it — the customer record is de-identified, and only anonymized visit and payment records are retained for accounting and legal obligations.
Commercial information
What: Appointments booked, services received, tickets and amounts paid, loyalty points, deposits
From: Your bookings and visits; Salon staff at checkout
Used for: Providing and billing services; Loyalty program; Business records
Shared with: Payment processor (for payments); Cloud hosting and database provider
Kept: Kept as business and transaction records for as long as required for accounting and legal obligations.
Communications
What: Text messages, AI receptionist call and chat conversations, notes you add to a booking (which may include preferences such as allergies), and delivery records of the confirmations, reminders and marketing messages sent to you
From: Your calls, texts and chats with the salon or its AI receptionist
Used for: Booking and managing appointments; Customer support; Quality of the AI receptionist
Shared with: Text/voice communications platform; AI model providers (to generate responses); Cloud hosting and database provider
Kept: Call transcripts are redacted after 12 months and chat conversations after 24 months of inactivity; booking and ticket notes are cleared after 24 months. A verified deletion request removes them sooner.
Audio
What: Recordings of calls with the salon’s AI receptionist, where enabled
From: Your phone calls to the salon’s AI number
Used for: Quality review and dispute resolution
Shared with: Text/voice communications platform (which records and stores the audio)
Kept: Recordings are deleted after 6 months; a verified deletion request deletes your calls’ recordings sooner.
Health information
What: Allergies, sensitivities, medical conditions or recent procedures a customer discloses for service safety — today only ever inside free-text notes and AI conversation transcripts; a structured allergies field exists but is not yet collected
From: Directly from you (told to your technician or the AI receptionist, or typed into a booking note)
Used for: Service safety (choosing/adjusting products and services)
Shared with: Cloud hosting and database provider; Text/voice communications platform and AI model providers (when disclosed in a call or chat)
Kept: Currently retained with the conversation/notes it appears in; a targeted health-data deletion path exists for the structured field (counsel review pending for free text).
Reviews and feedback
What: Star ratings and written reviews of technicians, and complaint submissions — with the name, phone number or email you provide alongside them
From: Directly from you (review and feedback forms)
Used for: Service quality; Displaying reviews online — only after the salon approves publication
Shared with: Cloud hosting and database provider
Kept: Kept as feedback records; a verified deletion request anonymizes your reviews and closed complaints.
Internet activity
What: Basic technical logs when using the booking website (IP address, browser type)
From: Your device when visiting the booking pages
Used for: Running, securing and debugging the website

Kept: Short-lived operational logs.
3. How We Use Your Information
Your information is used to:
Schedule and manage your appointments
Send appointment confirmations, reminders, or updates

We share only the information each provider needs to perform that function, and we do not sell your information. Each provider operates under its own published privacy and security terms.

We use reasonable administrative, technical, and physical safeguards to protect your personal data from unauthorized access, loss, or misuse.
However, no system is completely secure, and we cannot guarantee absolute protection.

10. AI Outbound Calls, Messages & Communication Consent
We send two different kinds of message, and they are kept separate. Each is sent only if you have given the matching consent — consent is asked for explicitly, and is recorded with the exact wording you agreed to, the date and time, and how it was given.
Appointment messages: confirmations, reminders, and reschedule or cancellation updates about a specific appointment. If you book online, these are sent because you ticked the appointment-text box on the booking form. If you book by phone or in the salon, we use the number you give us for that booking. Reply STOP at any time to stop them.
Marketing messages: offers, promotions, and review requests. These require a separate opt-in that is optional and is never a condition of booking. If you do not opt in, you do not receive them.
What replying STOP does: STOP stops every text we send to that number, appointment confirmations and reminders included — and it applies across every salon that uses this booking platform, not only the salon whose message you replied to. A text-message opt-out works on the phone number itself rather than on a category of message, so once you reply STOP we cannot send you appointment texts either. Reply START to the same number to resume. Appointment messages then start again; marketing does not — it stays off until you opt in again, which we ask for and record separately. If you want the offers to stop but your appointment reminders to continue, use the privacy request page on this booking site: "Stop marketing messages" takes effect immediately and leaves your appointment texts running.
Messages may be delivered by text message, email, or phone call, and may use AI to generate or personalize the wording. Calls to Pfinesse Salon & Spa may be answered by an automated AI assistant. Those calls are recorded from the moment they are answered, and the assistant's greeting tells you that you are speaking with an AI and that the call is recorded.
Message and data rates may apply depending on your carrier.
Salon staff can read AI conversations and may review them for accuracy and quality, but messages are not individually checked by a person before they are sent.
The AI assistant can book, reschedule, and cancel appointments for you during a call or chat without a staff member approving it first. You can ask to be transferred to a person at any time, or call the salon directly.
Withdrawing consent: reply "STOP" to any text — read "What replying STOP does" above first, because it stops your appointment reminders too — or use the privacy request page on this booking site, or contact us directly at (512) 251-2533.
11. Mobile Information Sharing
No mobile information will be shared with third parties/affiliates for marketing or promotional purposes.
All categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
